Your first visit, start to finish

2-min read · A step-by-step walkthrough of one visit: open the patient, review Prep, record, review the note and codes, and send to athena.

Written by Bryce Blackwell

This walkthrough takes one patient from your schedule to athena. Each step links to a detailed article if you want more.

Before you start: make sure you've logged in and allowed the microphone. See Before your first visit: set up in 5 minutes.

Step 1: Open the visit

On your schedule, click the patient's row. The visit opens on the Prep tab. Can't find them? See Why isn't my patient showing on my schedule?

Today's schedule with one patient's row highlighted: time and room, name, and the Ready for Provider status.

Step 2: Review Prep

  1. Read the Impression, Needs Your Attention (when it shows) and Summary of Last 3 Visits. If Prep is still updating, give it a minute: your MA's Done with Intake triggers the last read of the chart, and it is worth waiting for.

The top of the Prep tab with the Impression and the Summary of Last 3 Visits highlighted.
  2. Reconcile the Problem list. Each tile has up to three buttons, and hovering one tells you exactly what it does: + puts the problem in today's note (and on the athena list if it is new), − keeps it on the athena list but out of today's note, and × dismisses a suggestion or, when Matic proposes a removal, takes the problem off the list. Problems already on the list show only + and −. For everything left, + Do as Matic suggests · chart + note accepts the rest. The full guide: Reconcile the problem list.

A problem already on the list with its + and − buttons (1, 2), and the + Do as Matic suggests · chart + note button (3) that decides every suggestion left.
  3. Check the Template in Visit settings.

The Visit settings menu open, with the Template choices highlighted.

Tip: This takes about a minute, and many providers do it just outside the exam room. Problems you mark + are added to athena's Assessment & Plan, so you can enter orders before you go in. Once that has happened, switching the tile to − leaves the entry in athena; if you change your mind, remove it there.

What Matic reads from athena, and when: a full refresh of the last 7 days at Done with Check-in, and a final check of medications, vitals and questionnaire screeners at Done with Intake. Anything entered after that is not read for this visit. Patient questionnaire answers are read but not yet shown in Matic; open the Chart menu and choose athenaNet to see them.

Step 3: Record the visit

  1. Click Start recording. The red Recording timer means Matic is listening.

The Start recording button at the top right of the Prep tab.
The top right of the Prep tab while recording: the red Recording timer, with the Listening status next to it.
  2. See the patient as usual. Say what you want in the note out loud: exam findings as you find them, and on wellness visits the screenings and scores (depression, memory, falls, advance care planning). Matic writes what it hears and what the chart held when intake ended, not what stayed in your head. Use Pause and Resume if you step out.

The recording paused: the amber Paused timer and the Resume button.
  3. When the visit is over, click Finalize. Matic writes the note in about a minute, which is a good time to enter orders in athena.

The Finalize button at the top right of a recorded visit.

Step 4: Review the note

  1. Read each section. Click the pencil to change anything, or use Magic Edit to describe a change.

A section of the note with its pencil (Edit section) button, and Magic Edit at the top right.
  2. Fill in any amber *** doses.

Need the medication list or a phone number without scrolling? Click the patient's name at the top for the patient page. It is an early preview, so the phone number isn't there yet and the document list may be incomplete; use your browser's Back button to return to the visit.

Step 5: Check the codes

  1. In the Assessment & plan, check each problem's diagnosis codes. Click a code to see why Matic chose it, replace it, or remove it from the claim.

A diagnosis code clicked open in the Assessment & plan, showing why it's included, Replace and Remove from claim.
  2. In the bottom bar, click the visit code, such as 99214, to check the visit level. Then look at not on claim and, if it shows, Needs you.

The visit-level code in the bottom bar clicked open, with the Visit level choices highlighted.
The bottom bar with the visit-level code and the not on claim chip highlighted.

Step 6: Send to athena

  1. Click Send to Athena. If a review window opens, check it, then click Send to Athena again.

The Send to Athena button at the far right of the bottom bar.
Send to Athena: the review window Matic opens when it needs a decision first (or, when nothing needed review, the Sent to Athena summary).
  2. When you see Sent to Athena, open the encounter in athena, reload it, check the billing tab, and sign and close the note.

The bottom bar after sending: Sent to Athena with the codes that were sent, and the Send button now locked as Sent.

That's a complete visit. On your schedule, it now shows Uploaded.

A sent visit's row on the schedule, shown faded, with the Uploaded status highlighted.
