Record a visit

3-min read · Start, pause and finish a recording on the Prep tab, capture telehealth call audio, and fix microphone problems.

Record your visit on the Prep tab, and Matic writes the note when you're done. This article covers in-person and telehealth visits, adding to a recording later, and what to do if something goes wrong.

Tip: Before your first visit, allow Matic to use your microphone. See Before your first visit: set up in 5 minutes.

Record an in-person visit

  1. Open the visit from your schedule. It opens on the Prep tab.

The schedule with one visit highlighted. Click a visit to open it on the Prep tab.
  2. Click Start recording at the top right. You'll see Connecting…, then a red Recording timer.

The top right of the Prep tab while recording: the red Recording timer, with the Listening status next to it.
  3. See your patient as usual. Click Pause if you step out, and Resume to continue. Pausing keeps everything recorded so far.

The recording paused: the amber Paused timer and the Resume button.
The recording controls while recording: Pause (1) and Finalize (2).
  4. When the visit is over, click Finalize. Matic stops recording, writes the note, and opens the Note tab. It usually takes about a minute.

Note: The status next to the timer (Listening…, Hearing you or Check the microphone) only shows on a wide screen. If you don't see it, make your browser window wider.

Record a telehealth visit

  1. On the Prep tab, open Visit settings and choose Video or Audio-only.

The Visit settings menu open, with the Video and Audio-only visit types highlighted.
  2. Make sure Include computer call audio is ticked. It appears once you choose Video or Audio-only, is ticked by default for Video, and Matic remembers your choice.

  3. Click Start recording. When your browser asks what to share, choose the tab or screen your call is in, and turn on audio sharing.

If you see Call audio isn't being captured, open Visit settings and choose Add call audio.

Add more after you've finalized

Click Resume recording on the Prep tab. The new audio is added to the same transcript. Click Finalize again when you're done.

Important: Finalizing again regenerates the whole note. Matic asks Regenerate the whole note? first, because your edits and code changes are replaced.

See another patient while recording

You can open another chart while a recording is running. A banner reminds you which patient is recording, with Back to that patient, or End recording and begin recording for this patient. Ending keeps the first patient's audio but doesn't write their note, so go back and click Finalize on that visit.

Troubleshooting

"Could not start recording"

Your browser is blocking the microphone. Click the icon to the left of the web address, set Microphone to Allow, then try again.

"The recording service is still waking up"

Wait a few seconds, then click Retry.

"Microphone disconnected — recording paused"

Reconnect your microphone or headset, then click Resume.

"Connection lost"

Keep the page open. Matic keeps recording on your device and catches up when your connection returns. If you see Recording stopped — the connection was lost, click Resume recording. The new audio joins the same transcript.

The notice Connection lost — still recording: Matic keeps recording and saves the audio on this device until the connection returns.

"This encounter is recording in another tab"

Close the other tab, or choose Stop the other recording and record here.

Finalize is greyed out

Hover over Finalize to see why. For example, you may need to select a template first, or wait while audio recorded offline is processed.

While offline audio is still being processed, Finalize is greyed out and the reason shows next to it: Processing audio recorded offline — please wait.

"Not much transcript yet"

Matic heard very little, so the note may be empty. Choose Cancel to keep recording, or Generate anyway.

FAQs

If I pause to see another patient, do I lose the audio?

No. Pausing keeps everything recorded so far, and resuming adds to the same transcript.

I recorded the visit on my phone. Can I still use it?

Yes. Upload the file instead. See Upload a recording or paste a transcript.
