When Send to athena fails or only partly sends

2-min read · What Sent, Partly sent, Held and Not sent mean, how to use Review & retry and Check again, and what to check in athena afterward.

Written by Bryce Blackwell

Sending writes the note, the diagnoses and the charges into the athena chart. Matic reads each section back from athena before it marks the send Sent, so the status on the Note tab matches what's in the chart.

What the status means

  • Sent: every section was confirmed in athena. The note is locked in Matic; later corrections happen in athena.

  • Partly sent: some items reached athena and some didn't. The banner says how many are missing, with Review & retry.

  • Held, needs a diagnosis: a billed line has no diagnosis attached. Add one from the bottom bar, then send again.

  • Not sent: the send didn't start or was refused. The dialog shows the reason and a Check again button.

  • Send status unknown: Matic couldn't confirm with athena. Open the encounter in athena before sending again, so you don't duplicate it.

What to do

  1. Read the reason in the send dialog. Most refusals are a missing diagnosis, an unanswered Needs you item, or the problem list still applying.

  2. Fix the item, then click Check again or Review & retry. Matic only re-sends the parts that are missing.

  3. If it fails twice with the same message, or shows an unknown error, open the chart in athena (Open this exam in athenaNet in the toolbar) and check what arrived. Then report it with the time of the send; Matic keeps the full receipt so we can see exactly which section was refused.

What to check in athena after a send

Because a few known problems can leave gaps, a quick look at these three places catches them:

  • HPI is not blank.

  • Diagnoses on the encounter match the A/P, with the wording you expect.

  • Billing tab has the visit code, procedures and modifiers.

Current gaps and their fixes are listed in Known issues.
