Get your patient brief

3-min read · How Prep builds the patient brief, how to generate or refresh it, and how to add outside records like discharge summaries.

Written by Bryce Blackwell

Before each visit, Matic reads the patient's athena chart and writes a brief on the Prep tab, so you can walk in already knowing what matters. Here's how to generate or refresh a brief, and how to add outside records it's missing.

Note: Briefs are usually prepared overnight, before the visit. When a run is scheduled, the Prep header shows Next prep 2am.

Generate or refresh a brief

  1. Open the visit from your schedule. It opens on the Prep tab.

A visit open on the Prep tab, with the top of the patient brief: the Ready time, reason for visit, impression and mini-timeline.
  2. If you see No brief generated yet., click Generate brief.

  3. To refresh an existing brief, open the Chart menu and choose Regenerate brief. The current brief stays visible until the new one is ready.

The Chart menu open on the Prep tab, with Regenerate brief highlighted.
  4. Matic shows its progress, such as Waiting for the chart from Athena… and Generating the brief…. When it's done, you'll see a green Ready chip with the time it finished.

The Prep heading with the green Ready chip showing the time the brief finished, before the visit time.

Tip: Most briefs are ready in a few minutes. A full regeneration on a very large chart can take 10 minutes or longer.

Add an outside document

If a discharge summary, echo or outside report isn't in the brief, add it to the patient's record and regenerate.

  1. Open the patient's page. Click the patient's name at the top of the visit, or use Search patients on the schedule.

The top of a visit, with the patient's name highlighted. Click it to open the patient's page.
  2. Under Quick Actions, click Upload Document and choose one or more files (PDF, DOC, DOCX, TXT, PNG or JPG).

Quick Actions on the patient page, with Upload Document highlighted.
  3. Go back to the visit. Prep shows how many new documents arrived since the brief. Open the Chart menu and choose Regenerate brief.

The Chart menu open on the Prep tab, with Regenerate brief highlighted.

Important: Uploading a document doesn't update the brief on its own. Regenerate the brief to include it.

For athena patients, Sync Pending Documents on the patient page pulls in documents that were added in athena.

Troubleshooting

"Waiting for the chart from Athena…" for a long time

athena is slow to return the chart. Keep waiting. If you see Chart retrieval failed, click Retry chart fetch or Retry Prep, whichever the page shows.

The Prep tab when the chart couldn't be retrieved from athena: Chart retrieval failed, with Retry in the Chart menu.

"Brief generation stalled" or an error message

Click Retry. If it fails again, report it to Mat through Support in the top bar and include a link to the visit.

"This patient's chart was too large to read fully in time…"

Regenerate the brief. The second attempt usually succeeds.

"Chart changed since this brief"

Something changed in the chart after the brief was built. Choose Regenerate brief to include the changes.

"Prep is already running — this will finish on its own."

A brief is already being prepared. Wait for it rather than clicking again.

"No Athena encounter for this visit yet"

Telehealth and audio-only visits get an athena encounter once the visit is started in athenaNet. Start it there, then come back.

FAQs

My charts weren't prepped overnight. Is Matic down?

Usually not. It's more often a delay in the athena connection. Open the visit and click Generate brief. If several patients are affected, contact us through Support in the top bar.

Can I send Prep content to athena?

Not today. Prep is for your review. The note you send from the Note tab is what goes to athena.
